Position Summary:
The Administration Officer will be responsible for preparing, organizing, and maintaining all necessary documents to support outsourced accounting services and logistics operations. This role ensures accurate records, smooth coordination, and compliance with company policies and external requirements.
Key Responsibilities:
• Prepare and compile financial and accounting documents for submission to outsourced accountants (e.g., invoices, receipts, payment vouchers, tax-related documents).
• Coordinate with outsourced accountants to ensure timely delivery and completeness of required documents.
• Maintain accurate filing systems for accounting, tax, and financial records.
• Assist with logistics documentation, including shipping, customs, import/export, and delivery paperwork.
• Liaise with logistics providers to ensure smooth operations and proper documentation flow.
• Inventory tracking including the update of order received in accounting system / perform GRN, periodic physical stock count, update of stock movement record, monitor & maintain the stock level
• Support administrative tasks such as data entry, correspondence, and report preparation.
• Ensure compliance with internal policies and relevant legal/regulatory requirements.
• Provide general administrative support to finance and logistics departments as needed.
• Office administration duties such as purchase office supplies, supervise office cleaning, assist in office events planning/co-ordination, maintenance of office/facility equipment, keeping workplace safe & clean, flight / accommodation arrangements, where required
• Any other ad-hoc duties and responsibilities assigned
