Job Responsibilities
Manage the MD’s master calendar of events and daily log of activities.
Manage as proxy for MD on Employee Central, HRMI (E-Leave), E-Expense (All expenses), E-Adjustment (Products Requisition for his direct reports as justified).
Arrange meetings, teleconferences, appointments, travel schedules and details related to special events and functions with EXCOM and SEA Managements.
Prepare overseas Directors and Management’s hotel and logistic arrangement with trip details itinerary and ensure they have a good and smooth trip.
Taking minutes in monthly EXCOM meetings and meetings called by the MD. To plan, organize meeting rooms, invite participants, and meeting preparations.
Assist MD in preparing presentation materials (both data analyzing and visual presentation) for meetings, company events and visitors visiting the HQ.
Manage the performance of the personal driver and ensure he is well informed.
Record and handle correspondences; managing incoming mails according to priority. Redirect mails to various personnel to action and follow up.
Screening and responding to calls from external parties.
Handle confidential information and maintain the security of the MD’s record and files. Maintain discretion and confidentiality in performing the duties.
Handle and redirect calls and comments on complaints from ABOs to concerned Divisions.
Assist the MD in managing work flow and follow up on behalf of the MD on responses and actions required to ensure deadlines are met.
Assisting in yearly NLC and NC.
Prepare MD’s expense details.
Raise necessary documentations as required for MD’s travel, LPR, and, leave form. o Ensure all documents that requires MD's signature are in order before giving to him for signature.
Arrange yearly corporate gifts.
