We are seeking a detail-oriented and organized Administrative Assistant to join our team and play a key role in supporting our daily operations, financial activities, HR functions, and executive team. This role involves managing sensitive and confidential information.
As an Administrative Assistant, you will be responsible for providing comprehensive administrative support to various teams within the company, including Finance and HR. Your primary duties will include general administrative tasks, document organization for accounting and HR purposes, and assisting the executive team with their day-to-day needs. The ideal candidate is proactive, highly organized, and capable of multitasking in a fast-paced environment, with a strong commitment to confidentiality.
General Administrative Support:
• Answer and direct phone calls, take messages, and respond to inquiries.
• Greet and assist visitors to the office in a professional and welcoming manner.
• Manage and maintain office supplies, ensuring sufficient stock levels.
• Handle incoming and outgoing mail and packages.
• Schedule and coordinate appointments, meetings, and conference calls.
Accounting:
• Organize and maintain financial documents, invoices, receipts, and expense reports.
• Assist with data entry and record-keeping for accounting and bookkeeping purposes.
• Prepare and submit paperwork related to accounts payable and receivable.
• Work closely with the accounting team to ensure accurate and timely financial documentation.
HR Support:
• Assist the HR team with administrative tasks, including filing, record-keeping, and documentation.
• Help with the recruitment process by scheduling interviews and maintaining candidate records.
• Support onboarding activities for new employees, including paperwork and orientation materials.
• Handle sensitive HR-related information with the utmost confidentiality.
Executive Team Support:
• Provide administrative assistance to members of the executive team, including calendar management, travel arrangements, and expense reporting.
• Assist in the preparation of presentations, reports, and other documents.
• Handle confidential and sensitive information with discretion.
File Management and Record Keeping:
• Maintain organized electronic and physical filing systems.
• Ensure the security and confidentiality of sensitive company documents.
• Retrieve and provide requested documents as needed.
Special Projects:
• Assist in ad-hoc projects and tasks as assigned by supervisors or management.
• Contribute to process improvement initiatives to enhance office efficiency.
