Scope of the role: (สรุปขอบเขตงาน)
1. Audit Committee Support:
- Coordinate and facilitate Audit Committee meetings, including venue booking, equipment setup, and welcoming committee members.
- Prepare meeting materials for the Audit Committee, including compiling information, typing, and distributing documents to members in advance according to the schedule.
- Record and prepare detailed, accurate, and comprehensive minutes of Audit Committee meetings, and follow up on resolutions.
- Serve as a central point of communication between the Audit Committee, management, and the Internal Audit Office.
- Manage, store, and maintain important Audit Committee documents systematically and securely.
2. Schedule and Meeting Management:
- Manage appointment schedules and meetings for the Head of Internal Audit and the internal audit team.
- Arrange appointments, prepare meeting rooms, and necessary equipment for various departmental meetings.
- Send meeting reminders and track responses from attendees.
3. Minutes and Document Preparation:
- Prepare draft minutes of Audit Committee meeting.
- Draft, type, review, and file various departmental documents such as correspondence, memorandums, and other related documents.
4. General Administrative Support:
- Manage incoming and outgoing documents, and handle mail and courier services for the department.
- Oversee the requisition of office supplies and coordinate the procurement of necessary equipment for the department.
- Facilitate travel arrangements and expense claims for personnel within the department (if applicable).
5. Audit Support (Administrative):
- Track the progress of the outstanding audit issue on a monthly basis and send a following up email to respective business heads.
6. Data Management and Confidentiality:
- Strictly maintain the confidentiality of all information and documents related to audits and the Audit Committee.
- Ensure databases or information systems related to audit work are kept current and accurate.
7. Self-Development and Team Support:
- Continuously learn and develop skills necessary for job performance.
- Provide assistance and support to colleagues within the department as appropriate.
8. Perform other duties as assigned by the supervisor.
