We are seeking a highly organized and motivated individual to join our team as an Executive Secretary & Staff Engagement Coordinator. In this dual role, you will provide exceptional administrative support to the Head of Department and play a key role in fostering a positive and engaging work environment for all staff.
Responsibilities:
Executive Secretary:
- Manage the [Manager title]'s calendar, scheduling appointments, meetings, and travel arrangements.
- Prepare and proofread correspondence, presentations, and reports.
- Manage electronic and paper filing systems ensuring efficient organization and retrieval.
- Answer phones and emails professionally, screening inquiries and directing appropriately.
- Coordinate office logistics, including ordering supplies and managing petty cash.
- Maintain a professional and organized office environment.
Staff Engagement Coordinator:
- Develop and implement creative staff engagement initiatives to promote team building, morale, and company culture.
- Organize and manage social events, team outings, and volunteer opportunities.
- Coordinate communication channels to keep staff informed about company news, events, and initiatives.
- Conduct surveys and employee feedback sessions to gauge engagement levels and adapt programs accordingly.
- Identify and implement resources to promote employee well-being and work-life balance.
