The Spanish-Thai Chamber of Commerce (SPTCC) is dedicated to fostering strong business relationships between Spain and Thailand, providing support to companies, and promoting business opportunities between both countries. We are looking for a proactive, detail-oriented, and adaptable Administrative Officer to join our team in a part-time capacity, reporting directly to the Chamber’s Manager and assisting with financial and administrative tasks while supporting the Chamber’s activities.
Finance & Accounting Support:
Assist in financial management by supporting the Accountant and Treasurer in budget tracking, expense reporting, and financial planning.
Issue, process, and maintain records of tax invoices, receipts, and other financial documentation, ensuring accuracy and compliance.
Coordinate payments, reimbursements, and financial transactions with members, vendors, stakeholders, and service providers.
Regulatory & Compliance Administration:
Handle administrative processes with Thai authorities, ensuring timely compliance with local regulations and legal requirements.
Manage documentation related to the Department of Business Development (DBD) and the Revenue Department.
Assist in the preparation and submission of required reports, permits, and licenses in line with regulatory obligations.
Event & Logistics Support:
Support the planning and execution of Chamber events, coordinating logistics, venues, catering, and supplier arrangements.
Assist with event registrations, attendee communications, and on-site coordination to ensure smooth operations.
Prepare and manage event-related documentation, such as sponsorship agreements, invoices, and promotional materials.
Administrative & Government Liaison:
Maintain and organize administrative records, ensuring efficient document management and retrieval.
Work closely with the Spanish Embassy and the Commercial Office, liaising with official organizations, the Global Spanish Chambers network, and Spanish government bodies as necessary.
Act as a liaison between the Chamber, Thai government agencies, and business partners, ensuring smooth communication and compliance.
Draft, review, and process official correspondence, agreements, and internal reports as needed.
Provide general administrative support, including scheduling meetings, preparing presentations, and handling office coordination tasks.
