o Handles office administrative activities to ensure that the office runs efficiently.
o Ensure that all office facilities remain safe, secure and well maintained.
o Organizes and maintains office common areas, office equipment. Tracks and replaces office supplies as necessary to avoid interruptions in standard office procedures. Ensure cleanliness of office space.
o Serves as contact point to handle suppliers, external contractors and service providers according to service agreements, lease agreements, maintenance agreements and other related including assisting in reviewing their contracts to ensure that the property and individual units are repaired, maintained and in good conditions that meet company standards.
o Handles and cooperates for providing office supplies, IT and facilities to internal staff.
o Serves as contact point for internal and external parties for any related office facilities and related issues.
o Coordinates and participates in office space planning, maintenance and renovations when necessary
o Monitors and reviews office expenditures.
o Handles expenses and billing cycles. Cooperates and follows-up to ensure that payments are made in timely manner.
o Handles minor financial transactions for the office
o Assists in preparing financial reports and gathering its data.
o Handles email and dispatching important documentation
o Supervises and controls receptionist, maids and messengers. Handles phone calls and all related correspondence
o Assists in corporate affairs handling to maintain files and documents system. Ensures that all documents/records are properly organized.
o Other duties as assigned by direct supervisor
