Responsibilities
● Manage and plan the overall operations of the department, including building maintenance, systems operations, grounds keeping, laundry, and janitorial services.
● Supervise the planning and implementation of renovation and maintenance work related to buildings, facilities systems, and landscaping.
● Ensure the effective day-to-day operation of all departments under the role’s supervision according to pre-established plans.
● Lead, support, and develop departmental staff to work in alignment with safety standards, operational protocols, and quality benchmarks.
● Coordinate and support cross-departmental facilities needs to ensure school operations run smoothly and safely.
● Provide internal consultation for management within the facility-related departments.
● Review, consider, and approve relevant documentation and reports related to facilities management.
● Organize and lead monthly departmental head meetings.
● Attend and actively contribute to management-level meetings.
● Participate in school-wide activities and initiatives as assigned.
● Fulfill other duties as assigned by the Head of School or COO.
Safety and Security Compliance
● Fire Safety Systems: Regularly inspect, maintain, and ensure compliance with fire safety regulations, including fire alarms, sprinkler systems, fire extinguishers, and emergency exits. Schedule regular testing and maintain accurate records.
● Emergency Preparedness: Ensure buildings and facilities support emergency response plans (e.g., lockdown, evacuation). Conduct regular drills and ensure all staff and students are familiar with procedures.
● Security Systems: Oversee the functionality and maintenance of security systems such as CCTV and access control in liaison with vendors, ensuring compliance with privacy and data protection regulations.
● Health and Safety Regulations: Monitor and enforce occupational health and safety policies, conduct regular risk assessments, ensure safety procedures are in place, and maintain appropriate safety equipment.
● Accessibility Compliance: Ensure that the school’s facilities are accessible to individuals with disabilities by complying with accessibility regulations (e.g., ramps, lifts, restrooms).
● Playground Safety: Conduct regular inspections of playgrounds to ensure equipment meets safety standards and reduce risk of injury.
● Risk Management: Identify and assess risks related to buildings and grounds, and implement proactive measures to mitigate these risks.
Environmental Compliance
● Waste Management: Implement a comprehensive waste management program, ensuring recycling and safe disposal of hazardous waste in line with environmental regulations.
● Energy Efficiency: Monitor and optimize energy usage; implement energy-saving strategies in line with regulatory standards.
● Water Quality: Conduct regular water quality testing to ensure compliance with health standards.
● Air Quality: Ensure sufficient ventilation in school buildings and monitor indoor air quality using pure air monitoring systems.
Building and Infrastructure Compliance
● Building Codes and Permits: Ensure all construction, renovation, and maintenance work complies with local and national building codes, and that appropriate permits are acquired and documented.
● Structural Integrity: Conduct regular inspections to ensure the structural safety and longevity of all buildings.
● Electrical and Plumbing Systems: Oversee the compliance and safety of all electrical and plumbing systems, including installations, inspections, and ongoing maintenance.
Documentation and Record Keeping
● Compliance Records: Maintain accurate records of inspections, repairs, certifications, maintenance logs, and permits.
● Reporting: Prepare and submit compliance-related reports to the Head of School and COO on a scheduled basis or as needed.
