About the role
We are seeking an experienced and dedicated Executive Assistant to CEO for join the team at Lightsource Co., Ltd. As the Executive Assistant, you will play a crucial role in supporting our senior leadership team and ensuring the smooth running of our operations.
Key Responsibilities:
● Calendar Management
Manage the CEO's calendar, scheduling meetings, appointments, and travel arrangements.
Prioritize and adjust scheduling based on urgency, availability, and importance.
● Communication Support
Act as the primary point of contact between the CEO and internal/external stakeholders.
Manage and screen emails, phone calls, and other communication channels, ensuring timely and professional responses.
Prepare and edit correspondence, reports, and presentations for the CEO.
● Travel Coordination
Plan and coordinate complex domestic and international travel, including flights, accommodations, itineraries, and logistics.
Ensure all travel arrangements align with the CEO's preferences and requirements.
● Meeting & Event Coordination
Organize and coordinate meetings, conferences, and events for the CEO, both internally and externally.
Prepare meeting materials, agendas, and necessary documents in advance.
● Task & Project Management
Support the CEO in project management and the execution of key business initiatives.
Monitor deadlines, track progress, and ensure timely completion of assignments.
● Office Management & Supplies
Oversee office supplies and equipment, ensuring the CEO’s workspace is organized and efficient.
Assist with day-to-day office operations as needed.
● Liaison & Relationship Management
Build and maintain strong relationships with key internal and external stakeholders on behalf of the CEO.
Represent the CEO's interests and act as a liaison when necessary.
